The Pandemic Impacted and Redefined Workplace

From MiTAC’s experience, WFH or a hybrid workplace can be a satisfactory working model for both employers and employees. Therefore, in the future, businesses must have plans to empower their employees to work flexibly. To truly realize a new normal of work from home/hybrid workplace smooth operation, additional investments must be made in physical office space and digital technology tools that facilitate communication between physical and digital workplaces.

Contactless equipment

The MiTAC MiAegis is a multi-purpose, temperature-sensitive face recognition device that was created by the company’s pandemic prevention team during a crisis and is now permanently installed in the lobby of the Neihu headquarters. It not only successfully recognizes employees but also achieves a 95% accuracy rate even when they are wearing a mask. Moreover, temperature measurement and attendance management can be integrated if they are imported to forms of whitelist. Another contactless face-recognition debit machine that is being developed by the pandemic prevention team is a new model based on the MiAegis machine. It serves to verify the identity of the subsidized individual and the amount of subsidy for MiTAC staff cafeteria consumption. COVID-19 has become a catalyst for “contactless devices,” indicating that contactless devices will be in high demand in the market following the pandemic.

Paperless operation

At present, MiTAC has adopted paperless operations for its business management and procurement operations. To facilitate sharing, collaboration, and review in the cloud, all receipts and documents are converted to PDF digital files and stored temporarily in a standard storage format on cloud hard drives. After the operations have been completed, they will be transferred to the NAS database for permanent storage and future periodic audits and account checks. In keeping with the spirit of environmental sustainability, paperless operations can reduce paper printing costs and processing times for businesses, as well as save space and manpower for data storage. On the other hand, network security should be implemented to protect digitally stored data.

Information security

Companies must strengthen their information security teams and continue to learn and develop in order to enhance their information security capabilities. In order to reduce the likelihood of a hacker intrusion, businesses must also educate and train their employees on the importance of information security on a comprehensive and ongoing basis, as well as take adequate daily defensive measures.

Digital e-signature

When departments convert their paper operations to online operations, digital e-signature is the most pressing need for change. MiTAC has collaborated with numerous vendors to implement digital signature on the DOCUSIGN platform and integrate it with the organization’s existing contract management system. Currently, MiTAC Information Technology is experimenting with a few proposals, and it intends to fully implement them in the future.

Attendance system

In its internal employee system, MiTAC has developed a system called the “Pandemic Prevention Zone” that provides functions such as “online clock-in,” “health self-regulation,” and “self-reporting for employee pandemic prevention.” For instance, it is simpler to add someone to the tracking and control list of the occupational safety and security if they self-reported to suspect a history of contact. Having all employees complete attendance records and work logs facilitates remote management by supervisors and enables colleagues working from home to maintain the necessary work discipline and produce real-time work reports.

Online learning

During the pandemic, MiTAC organized online courses, such as the “Happy Living Talk” given by a professional counselor psychologist, to provide employees with techniques to prevent “depression.” The regular “Excellence Lecture” program will also introduce “Celebrity Digital Lecture.” Future plans call for the integration of the virtual and physical worlds.
